These meetings are an important part of your relationship with your supervisor and will play a big role in shaping how effective that relationship is; so it is important that you spend some time thinking about what you can do to make these meetings as constructive as possible. If you have ever been involved in a formal meeting you will know that two key roles are those of the chairperson and the secretary. In your meetings with your supervisor, you will combine both of these roles. To make the most of your meetings with your supervisor and to ensure that these are as constructive as possible, it may be worth thinking about your role in more detail. You and your supervisory team should at the start of your research degree discuss how often you will have formal supervisory meetings and whose responsibility it will be to schedule these. Having regular formal supervisory meetings is usually beneficial to both sides, so we would suggest that these meetings are held at least:. Formal supervisory meetings for research students registered on other doctoral degree programmes are held at least monthly full-time programmes or every two months part-time programmes.

Institutions tend to either ban student-faculty dating altogether or where a supervisory relationship exists. The ages of the couple — her, 25; him, 71 — are unusually far apart. The PhD programme is supported by a rigorous process for reporting progress as required by the regulations for the PhD degree. It is particularly important that the reporting process be used as a means of determining the adequacy of supervision and support. Where problems are identified, these should be signalled in the report, together with measures to rectify them. Progress reports are due at the following intervals: six monthly until confirmation, and then annually thereafter until the submission of the thesis or termination of candidature.
Note that the date of subsequent meetings is usually set by the entry of the progress report into eVision. If there is a delay in entering this report, subsequent meetings will be delayed.

The Scholarship competition will be focused on supervisor-led proposals. The College scholarship competition will be supervisor-led. It is supervisors who apply for these, not students. This, however, does not mean that individual supervisors cannot or should not work with, or respond to interest from, a talented student to develop the proposal. Such co-creation may be essential, but the critical element is that supervisors must be fully engaged in the development of the project, and they must understand that they have ownership over the proposal.

The Final Oral Defence cannot be scheduled until after the dissertation has been transmitted to the External Examiner. Once the Candidate’s dissertation has been sent to the External Examiner, a due date for the external report is set. The Candidate and Research Supervisor will be notified by Graduate and Postdoctoral Studies of this report due date and the earliest possible date for the Oral Defence. This may seem like a long delay, but it is a safe estimate of the time it takes to ensure a thorough review of the dissertation by the External Examiner as well as the University Examiners and any administrative hurdles that might impede the process, especially during peak periods.
Note: While Candidates and their Committees are permitted to schedule the Oral Defence before the External Examiner’s report has been submitted, they should be aware that the Defence cannot proceed without a positive report from the External Examiner. A negative external report will almost certainly make it impossible to proceed with a scheduled Defence. Graduate and Postdoctoral Studies also reserves the right to postpone the Final Oral Defence if the External Examiner’s report is late.
Please see External Examiner’s Report for more information about this report. The Oral Defence must be scheduled through Graduate and Postdoctoral Studies at least 4 weeks in advance. Oral Defences are not normally held between mid-December and mid-January.
